iSmart Workspace is an enterprise-grade ecosystem designed to digitalize and centralize workplace operations within a unified platform.
The ecosystem connects Mobile and Desktop applications with a centralized Backend, providing a unified environment for internal communication, IT support, asset management, procurement, document processing, and automated printer monitoring.
A complete internal communication platform powered by Socket.io, supporting:
A complete IT and maintenance support ticketing system supporting:
A centralized system for managing company hardware and tracking its lifecycle.
It supports:
The backend automatically monitors network printers through SNMP.
The monitoring engine collects:
Scheduled polling is handled through node-cron.
The mobile application provides an advanced document scanning workflow powered by Google ML Kit.
Users can:
A digital procurement workflow covering the lifecycle of purchase requests from creation to receiving.
The module supports:
The ecosystem implements fine-grained Role-Based Access Control for managing:
It also provides centralized OTA update management for Desktop and Mobile clients.
The ecosystem consists of three major components:
Node.js + Express.js + MongoDB + Redis + Socket.io
Responsible for:
A Flutter-based desktop application optimized for enterprise workflows, providing a comprehensive dashboard for managing internal operations.
A Flutter application for iOS and Android providing mobile access to the ecosystem, including document scanning, notifications, communication, and helpdesk functionality.
Multiple security layers are implemented across the ecosystem, including:
The backend supports automated Excel reports using ExcelJS and PDF generation using PDFKit, enabling management and IT teams to monitor and analyze operational data.
Problem
The workplace environment relied on multiple disconnected processes and systems for employee communication, IT support, hardware management, procurement, printer monitoring, and document handling. This made it difficult to centralize data, track operational workflows, and maintain consistent visibility across IT and administrative teams. Several processes also required manual monitoring, particularly IT assets, network printers, and support requests. The organization needed a centralized ecosystem operating across multiple platforms while providing a unified user experience, real-time communication, role-based access, and automated operational workflows.
Solution
**iSmart Workspace Ecosystem** was built as an integrated platform connecting a centralized backend with Flutter-based Desktop and Mobile applications. Node.js and Express power the backend, MongoDB handles persistent data, and Redis improves performance while providing rate limiting capabilities. Socket.io was integrated for real-time communication, Firebase for push notifications, SNMP for automated printer monitoring, and node-cron for scheduled polling, backups, and background operations. On the client side, Flutter applications provide platform-specific experiences while sharing the same ecosystem and backend services. Google ML Kit was also integrated into the Mobile application for document scanning and PDF generation. The result is a unified operational ecosystem instead of a collection of disconnected workplace systems.
Architecture
The system was designed as a **Multi-Platform Enterprise Ecosystem** consisting of a centralized backend and multiple client applications. The backend follows a modular architecture where domains such as Chat, Tickets, IT Assets, Printers, and Purchasing are isolated into dedicated modules. MongoDB serves as the primary database, Redis provides caching and rate limiting, Socket.io handles real-time communication, and node-cron manages scheduled background tasks. The Desktop and Mobile applications are built with Flutter and Riverpod, using Dio for REST API communication and Socket.io for real-time events. This architecture allows new features and additional clients to be introduced while maintaining a centralized backend and shared business logic.
Challenges
One of the main challenges was building a unified ecosystem across Desktop and Mobile while maintaining consistent experiences and connecting all clients to the same backend. Integrating real-time communication with traditional REST APIs also required careful management of socket connections, events, and notification workflows. Printer monitoring introduced another challenge because the backend had to communicate directly with network devices through SNMP and perform scheduled polling without negatively impacting API performance. The system also handled sensitive workflows involving company assets, files, permissions, and procurement, making security, RBAC, and rate limiting critical requirements. The document scanner added another technical challenge by requiring on-device document processing and PDF generation while maintaining a smooth mobile user experience.
Results
The project resulted in a unified enterprise ecosystem connecting the backend with Desktop and Mobile applications while consolidating a wide range of workplace operations into a single environment. Teams can communicate in real time, create and track support tickets, manage IT assets, monitor network printers, and handle procurement and document workflows through an interconnected platform. Automated SNMP monitoring and scheduled background jobs reduce reliance on manual operational processes, while the real-time architecture provides a faster and more interactive experience. The modular architecture also makes the platform maintainable and scalable, allowing new features and additional clients to be introduced without rebuilding the entire ecosystem.
