Problem
The workplace environment required a centralized backend capable of bringing together multiple internal operations that would otherwise depend on separate systems and processes, including employee communication, IT asset management, printer monitoring, helpdesk support, purchasing, and document management. Network printer monitoring across multiple branches also required an automated mechanism for collecting device information and generating alerts instead of relying on manual monitoring. With sensitive organizational data and workflows involved, the platform needed a secure and scalable backend supporting role-based access, real-time communication, and scheduled operations.
Solution
**iSmart Workspace Backend** was developed as a unified Node.js and Express backend covering the organization's core workplace operations. Socket.io was integrated to provide a real-time enterprise messaging system, while SNMP enables automated printer monitoring and collection of toner and usage statistics. Dedicated modules handle IT assets, helpdesk tickets, purchasing, and document management. Redis is used for performance optimization and rate limiting, Firebase provides push notification capabilities, and node-cron automates scheduled operations. Security is enforced through JWT, RBAC, Helmet, and request validation.
Architecture
The system uses a **Modular Feature-Based Architecture**, dividing the backend into independent domains based on business capabilities. Each module contains its own controllers, models, routes, and services, while shared utilities and infrastructure services are kept reusable across the platform. MongoDB with Mongoose handles data persistence, Redis provides caching and rate limiting, Socket.io powers real-time communication, and node-cron manages scheduled background operations. This domain-oriented organization keeps business logic isolated and makes it easier to introduce new modules or evolve existing ones.
Challenges
One of the main challenges was integrating fundamentally different systems into a single backend, ranging from real-time messaging to direct network communication with printers through SNMP. Printer monitoring required scheduled polling and collection of toner and consumption data while ensuring that monitoring workloads would not negatively impact the rest of the API. The platform also had to manage numerous modules and sensitive workflows while providing granular access control, rate limiting, backups, scheduled operations, and automated Excel and PDF reporting.
Results
The project resulted in a unified backend supporting a broad range of enterprise workflows, from real-time communication to IT asset management, helpdesk operations, purchasing, and automated printer monitoring. The modular architecture provides clear separation between business domains, making the platform easier to maintain and extend. The integration of SNMP, Redis, Socket.io, and scheduled background tasks provides a technical foundation for automated monitoring, real-time communication, and operational workflows while maintaining appropriate security and administrative controls for an enterprise environment.
iSmart Workspace Backend is an enterprise-grade backend platform built with Node.js and Express, serving as the core engine for an internal workplace management ecosystem.
The system brings together real-time communication, IT asset management, network printer monitoring, helpdesk ticketing, purchasing, document management, reporting, and administrative operations into a unified backend.
A full-featured enterprise messaging system supporting:
The backend monitors network printers using SNMP, including:
A comprehensive system for tracking IT assets, including:
An internal support ticketing system providing:
A procurement management module handling:
Secure services for generating, storing, and retrieving user-owned PDF documents.
The backend includes:
Automated report generation supporting:
The project follows a Modular Feature-Based Architecture, where each major business domain is encapsulated inside its own module containing its controllers, models, routes, and services.
Core domains include:
Chat · Printers · IT Assets · Tickets · Purchasing · Admin
This separation keeps business logic organized and allows individual domains to evolve independently.
Redis is used for caching and rate limiting, while Socket.io provides the real-time communication layer.
The backend also uses Helmet, Express Validator, JWT, and bcrypt to provide multiple layers of security and request validation.
Scheduled tasks such as printer monitoring and database backups are automated using node-cron.
